Membership & Directory questions

Mike, I have a few questions about Membership & the Directory.

PTA Membership questions:
I created a new item for Sale "PTA Membership 2011-12" and listed this item on my home page. (Price = $7.50) I went ahead an ordered Qty. 2 ($15.00) for my family. I see that there is a 4% processing fee ($0.59) on each order. (We may need to raise our Membership price).

How is this info stored in the database? Can you expose this field as a Paid? Yes/No checkbox on the Account Search page?
I know I can run the 'Membership List' report (under Board Only). However, what if someone pays us directly with cash or check? I'd like to be able to somehow document that in their Paperless PTO account (Account Search page).


Directory questions:
Under Chair Reports, Directory Report (A report of all members that have ordered the PTO Directory).
How do you order the PTO Directory? Do I need to create this as a new item for Sale? Who is printing this? Any doco on this?

Can we create dummy accounts for people that don't follow through with signing up on Paperless PTO?
I'm afraid a good percentage of people will just signup and pay at our PTA Membership drive table at the start of the school year, and they will neglect to do the Paperless PTO part.
Can we do a bulk import or something??

Hi Steve,

When the item for sale is marked as a membership/directory item the system will then consider the account as paid member if they make the purchase for this item. If they pay by credit card it happens immediately if the payment is accepted. Folks can also pay by check. When they use this option the barcoded order form can be sent to your treasurer with the check payment. That person can then mart that order as paid from the SCAN CHECK PAYMENTS function. You can simply key in the order number on this page and it will mark the order complete and trigger an email to the member letting them know the order was processed. Once this is done the system also marks them as a paid member if the order included the membership/director item.

Many groups use the PDF directory generated by the system to create a hard copy of their directory. They simply bring it to a local pritiner.

If you have a spreadsheet of other members that have not registered on the site we can load it into the DB. We usually do this for groups when they first subscribe to our program
